Why This Method Works So Well
Most people do not struggle with doing the process. They struggle with documenting it.
That’s why this works.
Instead of typing everything out manually, you just explain the workflow out loud. ChatGPT transcribes it and then makes it readable. That means less friction, less procrastination, and a much faster way to build SOPs.
Step 1: Dictate Your Process with Just Your Voice
Open ChatGPT and click the Dictate button. It’s the little microphone icon thingy.
Then start talking through the workflow. Do not worry about sounding perfect. Just explain what you do, step by step, where you click, who handles the task, and when it gets done.
Messy is fine. Rambling is fine. The goal is to get the process out of your head and into the AI’s brain.
Pro Tip: Literally go through the steps on your computer as you speak them.
Step 2: Paste the SOP Generator Prompt into ChatGPT
Once you’re done speaking, press the little check mark icon in ChatGPT in the prompt bar.
Then, paste in the SOP generator prompt below the transcript.
The prompt tells ChatGPT to clean up the transcript, put the steps in order, and format everything like a real internal process document instead of a chaotic voice dump.

1. Rewrite everything for clarity while preserving the actual meaning and workflow.
2. Organize the process in the correct chronological order, even if I described it out of order.
3. Use numbered main steps.
4. Use sub-bullets only when necessary to clarify details, options, or examples.
5. Fix unclear phrasing, grammar, and transitions.
6. Standardize the language so it sounds professional, practical, and easy for a coworker to follow.
7. Do not leave the SOP vague. Where the transcript implies an action, rewrite it as a direct instruction.
8. If the transcript includes tools, platforms, files, approvals, checkpoints, or handoff points, include them in the correct step.
9. If something is unclear, missing, or ambiguous, do not guess. Add a short section at the end titled “Questions / Gaps to Clarify”.
10. If there are warnings, common mistakes, or things to double-check, add a short section at the end titled “Important Notes”.
11. Format the final output so it is clean and easy to paste directly into a Google Doc with ZERO issues. Include an H1 as the main document title, H2s for headings, and H3s for subheadings.

Frequency:

4. Continue in chronological order until complete. You can split the procedure off into categorized sections (A., B., C., etc.) if it makes sense to do so.

– Keep it simple, direct, and practical.
– Write in plain English.
– Make each step specific and actionable.
– Do not use jargon unless it clearly came from my transcript and is necessary.
– Do not over-explain.
– Do not summarize too loosely. Make this operational.
– Make the final SOP feel like a real internal process document for a business.
– Remove repetition, filler words, side comments, and rambling.
Now convert the transcript into the finished SOP.
Step 3: Turn On ChatGPT’s Thinking Mode and Press Enter
You do not have to use Thinking, but it helps.
It usually gives ChatGPT a better shot at organizing the steps clearly and cleaning up the final output.
What You’ll Get Back from the AI Genie
If your transcript included the important details, you’ll usually get:
- A clear title
- Organized sections
- Numbered steps
- Role and frequency details
- A doc that is easy to paste into Google Docs
It will not always be 100% perfect, but it will shockingly get you most of the way there. Just like a little car with a failing engine.

The better your spoken walkthrough, the better the SOP.
Mention the tool, the clicks, the order of steps, who owns the task, and how often it happens. That is usually enough for ChatGPT to do the rest.
